Resume vs CV: Which Do You Need? (With Free Templates)
Resume vs CV — most people use these terms interchangeably, but they're not the same document. Here's exactly when to use each, with free templates for both.
Resume vs CV: The Short Answer
These two documents are not the same — and confusing them is a mistake that gets applications rejected or, worse, signals inexperience to a knowledgeable recruiter. Here's the clear version:
- Resume — A concise summary of your relevant skills and experience for a specific role. 1–2 pages. Customized for each application. Standard in the US, UK, Canada, and Australia.
- CV (Curriculum Vitae) — A comprehensive record of your academic and professional accomplishments. Typically 2–4+ pages. Rarely customized. Standard in academia, research, medicine, and most of Europe.
The key difference is purpose and length. A resume is a targeted sales document. A CV is a complete professional record. Use the wrong one and your application either gets rejected immediately or signals you don't understand the context.
When to Use a Resume
Resumes are the standard for most private-sector job applications in the following regions:
- United States — Virtually all corporate, startup, and non-academic roles. One to two pages maximum. Tailored to each role.
- United Kingdom — Most job applications. Slightly longer than US norms (2–3 pages accepted), but structurally similar: tailored, skills-focused, concise.
- Canada — Same as US. Resume is the expected format.
- Australia — Resume is standard. Often slightly more comprehensive than US versions but still targeted and tailored.
A resume is the right document when:
- You're applying to a private company or startup
- The job description asks for a "resume"
- You need to show relevance to a specific role, not just your complete history
- You're targeting a role where volume and speed matter (hiring managers reviewing 200 applications don't have time for a 4-page academic CV)
When to Use a CV
CVs are expected in specific professional contexts where completeness and credentials matter more than targeted relevance:
- Academic positions — University professors, researchers, postdocs, academic staff. CVs include publications, conference presentations, grants, teaching history, academic awards.
- Medical and scientific roles — Clinical positions, lab roles, pharmaceutical research. CVs document certifications, clinical trials, publications, technical specializations.
- Legal roles (outside the US) — Particularly in civil law countries, a CV is the standard document and is expected to be comprehensive and detailed.
- Most of continental Europe — Germany, France, the Netherlands, Spain, Italy, and Scandinavia. CVs are the standard for all professional applications. They tend to be more comprehensive than US resumes, often including personal details, language skills, and professional references.
- Grant and fellowship applications — Academic grants, research funding, and fellowships typically require CVs as part of the application package.
In academia especially, CVs are expected to be comprehensive and are not customized per application — you submit the same full CV to every academic role and the institution reviews it against their criteria.
The Structural Differences: Side by Side
Resume structure:
- Contact information + professional summary
- Skills or core competencies (tailored to the role)
- Professional experience (reverse chronological, focused on relevant accomplishments)
- Education
- Optional: certifications, languages, technical skills
CV structure:
- Contact information + academic profile
- Education (detailed, with thesis titles, institutions, dates)
- Professional experience (including academic roles, teaching, research)
- Publications, presentations, exhibitions
- Grants, awards, fellowships
- Teaching experience and philosophy
- Professional affiliations and service
- Languages and technical skills
- References
The CV includes everything. The resume includes what's relevant.
Regional Quirks That Actually Matter
Germany: CVs are typically structured as a two-column or chronological timeline, and it's common to include a professional photo, nationality, date of birth, and marital status. Photo guidelines are more relaxed than in the US.
France: CVs are usually one page. "CV二" (two-page CV) exists but is reserved for very senior candidates. Conciseness is valued.
Netherlands: CVs are typically 1–2 pages with a clear, structured format. Dutch recruiters are known for valuing directness and clarity.
UK: Despite sharing a language with the US, the UK uses "CV" as the standard term even for private-sector roles. Structure is closer to a US resume than a European CV — but the terminology differs.
India: CV is the standard term and format for all professional applications. Typically 1–2 pages, comprehensive but not academic in scope.
Can You Use Both at Once?
In some situations — particularly international job searches — you might need both. A senior academic who also consults for private companies might maintain a detailed CV for academic applications and a targeted resume for consulting work.
When in doubt about which document a specific employer wants: search the job description. If it says "CV," submit a CV. If it says "resume," submit a resume. If it says "please submit a CV/resume" without specifying — a concise 2-page document with resume-style formatting will generally be accepted.
